Overview
Retention Engine, LLC, doing business as Auto Shop Follow-Up ("ASFU," "we," "us"), operates autoshopfollowup.com and provides done-for-you phone follow-up for independent auto repair shops. This policy explains what personal information we collect, how we use and share it, and the choices you have.
It covers two groups of people. The first is visitors to our website and prospective clients, such as shop owners and managers. The second is our clients' own customers, whom we may call on a shop's behalf. Our role is different for each group, and the sections below say which one applies.
Information we collect
From website visitors and prospective clients
- Quote form details: email, name, shop name, phone number, shop website, number of locations, monthly car counts per location, the services you select, and the estimate we calculate.
- Partial entries: our quote form saves your progress as you move through it, so we may receive your email, name, or shop details even if you do not finish.
- Scheduling details: when you book a demo or onboarding call, Calendly collects your name, email, and time slot and shares them with us.
- Conversations: emails, calls, and meeting notes between you and our team.
- Business contact details from other sources, such as referrals and public business listings.
Collected automatically
- Technical data such as IP address, browser type, device type, and the pages you view, which our hosting and scheduling providers may log. See Cookies and similar technologies below.

How we use information
We use the information described above to:
- Respond to quote requests, prepare estimates, and schedule demos and onboarding calls.
- Provide, support, and bill for our services once a shop becomes a client.
- Email you about our services. You can opt out of marketing emails at any time.
- Improve our website, quote tool, and services.
- Protect our systems, prevent fraud and abuse, and keep records.
- Meet legal obligations and enforce our agreements.
How we share information
We do not sell personal information, and we do not share it for cross-context behavioral advertising. We share it only in these situations:
- Service providers that process information for us under contract, such as providers of website hosting, database storage, email delivery, scheduling, customer relationship management, phone and messaging, email and file storage, team communication, project tracking, and meeting notes.
- Our clients, when we work on their behalf, as described in the section on customers of our shop clients.
- Legal and safety reasons, such as responding to lawful requests or protecting rights, property, or safety.
- A business transfer, such as a merger, acquisition, or sale of assets, in which case we will require the new owner to honor this policy.
- Aggregated or de-identified information that cannot reasonably identify a person.
Cookies and similar technologies
Our site does not currently use advertising or analytics cookies. It does use the following:
- Your cookie banner choice, saved in your browser's local storage so we do not ask again.
- A random session identifier that links the steps of one quote form visit together.
- Google Fonts, which loads our typeface from Google and so receives your IP address.
- The Calendly scheduling widget, which loads from Calendly and may set its own cookies when you open it.
You can block or clear cookies and local storage in your browser settings.
Customers of our shop clients
If you are a customer of an auto repair shop that uses ASFU, we handle your information as a service provider acting on that shop's instructions. The shop decides why your information is used, and we use it only to provide the shop's follow-up services.
What we receive from the shop: your name, phone number, visit dates, vehicle details, service history, and any repair a shop recommended that you declined. This comes from the shop's management system or from files the shop gives us.
What we create: notes from our calls, your feedback, appointment requests, and records of whether a call was completed.
How it is used: our US-based team members call customers who have recently visited, who declined a recommended repair, or who have not returned in some time. We share call results with the shop so it can respond. We do not sell this information.
Stopping calls: tell the caller, the shop, or email hello@autoshopfollowup.com and we will add you to our do-not-call list and stop calling.
Your privacy requests: contact the shop first. We will help the shop respond. You may also write to us directly and we will pass your request to the shop.
Retention and security
We keep personal information only as long as needed for the purposes in this policy or to meet legal, tax, and contract requirements.
We protect information with encryption in transit, access limited to team members who need it, and database access controls. No method of storage or transmission is completely secure, so we cannot guarantee absolute security. If a breach affects your information, we will notify you and regulators as the law requires.
Your choices and privacy rights
- Marketing emails: opt out at any time by replying to the email or writing to us.
- Calls: ask us or the shop to stop calling and we will add you to our do-not-call list.
- Cookies: manage them in your browser settings.
- State privacy rights: depending on where you live, you may have the right to know what we hold about you, access, correct, or delete it, receive a copy, and opt out of sale, targeted advertising, or profiling. We do not sell personal information.
To make a request, email hello@autoshopfollowup.com. We may need to verify your identity, and an authorized agent may submit a request for you. We respond within the time the law allows. If we deny a request you may appeal by replying to our response, and we will not treat you worse for exercising your rights. Requests about information we hold for a shop are passed to that shop.
Children, links, changes, and contact
Our website and services are meant for businesses and are not directed to children under 16. We do not knowingly collect their information. Our site links to third-party services, such as Calendly, that have their own privacy policies. We may update this policy and will post the new version here with a new effective date.
